We are looking for an Executive Assistant to support Kalmar Executive team members and to ensure that company goals and objectives are accomplished and operations run efficiently.

Main tasks and responsibilities
- Manage professional scheduling including agendas, mail, email, calls, travel arrangements, customer visits, and other company logistics
- Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
- Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation and meal coordination
- Maintain professionalism and strict confidentiality with all materials and exercise discretion when interfacing with the business
- Organize management team communications and plan events, both internally and offsite
- Manage and coordinate management meeting agendas and presentation materials
- Manage and coordinate BA Review meetings, create agendas and share presentation materials
- Support other executive team members on daily administrative tasks and travel related arrangements
- Support Helsinki Team office space related issues and other issues on needed basis.
What you’ll need to succeed
Education:
- HSI/Management assistant.
Experience:
- +5 years working with senior executives.
Competencies:
- Proactive problem solver with exceptional communication skills and a high attention to detail
- Ability to act flexible and foresightly
- Trustworthy
- Organisational understanding
- Tech savvy, MS Office and Google tools.
